This is important to understand, because it determines your rights. As controller, we process the data of our own clients and website visitors: client management, invoicing, quotes, newsletter.

As processor, we process the data of recipients of a drop. We receive that data from our client, who is itself responsible for the decision to contact a person. We use that data exclusively to create the drop, deliver it and display the landing page, never for our own commercial purposes and never to sell it or share it with other clients.

Clients: name, company, job title, email, telephone, billing details, campaign data.

Recipients of a drop: first name and surname, company, job title, delivery address, and the scan and interaction data of the personal landing page (time of the scan, whether an appointment was booked). We do not store any payment data of recipients and do not carry out any profiling of recipients.

Performance of the contract for everything relating to the order, production and delivery. Legitimate interest for B2B communication to business contacts, based on a balancing test that we explain on request. Consent for the newsletter and for non-essential cookies. Legal obligation for accounting and invoicing.

Billing data: seven years, the statutory accounting retention period. Campaign data and scan data: twelve months after the end of the campaign, unless the client requests deletion earlier. Recipients’ address data: deleted within thirty days of delivery, except for what is needed for the suppression list below. Newsletter: until you unsubscribe.

Anyone who asks us never to receive a drop again is added to a suppression list that applies to all Colddrop clients. For this purpose we keep only the strictly necessary minimum, name and company, precisely so that we can honour that request. Requests can be made via hello@colddrop.be or via colddrop.be/en/received-a-colddrop.

We work with the following categories of processors: hosting provider, printer and bakery, courier service, email platform, payment provider, analytics tools. As a rule, data is stored within the EEA. Where a partner is located outside the EEA, the transfer takes place on the basis of standard contractual clauses.

Access, rectification, erasure, restriction, portability, objection, withdrawal of consent. We respond within thirty days. If you are a recipient of a drop, you can also send your request directly to us and we will forward it to the client who sent the drop.
